How to Use QuickBooks Database Server Manager to Share Company Files
QuickBooks Desktop allows multiple users to work on the same company file through a network. To make this possible, you need the QuickBooks Database Server Manager on the computer that stores your company files. This tool helps QuickBooks users access shared company files from different computers while supporting a multi-user environment. The Database Server Manager is especially useful for businesses where employees need to work with the same QuickBooks data at the same time. It runs in the background on the server computer and manages access to company files over the network.
If only one person uses QuickBooks and there is no need to share company files with other computers, you generally do not need the Database Server Manager.
What Is QuickBooks Database Server Manager?
QuickBooks Database Server Manager is a component of QuickBooks Desktop that allows users on a network to access company files stored on a server computer. It creates a connection between the QuickBooks company files and the workstations that need to use them.
The tool is installed on the computer where your company files are stored. After installation and configuration, other computers on the same network can access those files when QuickBooks is running in multi-user mode.
It also helps manage the database service required for multi-user access.
Download QuickBooks Database Server Manager
You do not need to download the QuickBooks Database Server Manager as a separate program. It is included with the QuickBooks Desktop installation package.
If QuickBooks Desktop is already installed on your server, you can check for the latest available updates. When you update QuickBooks Desktop, the Database Server Manager is also updated automatically.
Before beginning the installation, make sure you have the appropriate QuickBooks Desktop installation file and that you can make changes to the server computer.
Install QuickBooks Database Server Manager
Install the Database Server Manager on the computer that stores your QuickBooks company files. This computer acts as the server for your QuickBooks network.
If you use more than one version of QuickBooks Desktop on the same network, install the Database Server Manager versions in order. Start with the oldest QuickBooks version and then install the newer versions.
Follow these steps:
- Close QuickBooks Desktop and any other open programs on the server computer.
- Locate and open the QuickBooks installation file.
- The installation file is commonly named Setup_QuickBooks.exe.
- Follow the instructions displayed by the installation wizard.
- Enter your product or license information if QuickBooks asks for it.
- When the installation type appears, select Custom or Network Options.
- Select Next.
Choose the Correct Network Installation Option
QuickBooks may display different options depending on how you plan to use the server computer.
QuickBooks Desktop and Company Files on the Same Computer
Choose the option that indicates you will use QuickBooks Desktop on this computer and store your company files here.
This setup installs both QuickBooks Desktop and the Database Server Manager on the server. It is useful when the server computer also needs to run QuickBooks Desktop.
Database Server Manager Only
Choose the option indicating that you will not use QuickBooks Desktop on this computer if the server is only intended to store company files and provide database services.
After selecting the appropriate option, click Next and then select Install. If Windows asks for permission to continue, allow the installation to proceed.
Give the Database Service Access to Company Files
During installation, QuickBooks creates a Windows user account for the Database Server Manager. The account name can vary depending on the QuickBooks version.
For example, a particular QuickBooks Desktop version may create an account such as QBDataServiceUserXX.
This service account needs appropriate permissions for the folders containing your QuickBooks company files. Without the required folder permissions, other computers may have difficulty accessing the company files over the network.
Make sure the company file folders are shared correctly and that the Database Server Manager service can read and access those folders.
Configure QuickBooks Database Server Manager
QuickBooks usually works with its default Database Server Manager settings. However, you can check the Windows service configuration if you are experiencing network or multi-user problems.
Follow these steps to review the service:
- Open the Windows Start menu.
- Type Services in the search box.
- Open the Services application.
- Locate QuickBooksDBXX, where XX represents the QuickBooks version.
- Open the service.
- On the General tab, check the service status.
- If the service is running, select Stop.
- Set Startup type to Automatic.
- Open the Log On tab.
- Select Local System account.
- Open the Recovery tab.
- Set the recovery action to Restart the Service for the first failure, second failure, and subsequent failures.
- Return to the General tab.
- Select Start to restart the QuickBooks database service.
Configure Firewall Permissions for QuickBooks
A firewall can sometimes prevent QuickBooks Desktop from communicating correctly across a network. If the Database Server Manager is installed but other computers cannot access the company file, check your Windows firewall and security software settings.
Make sure QuickBooks and its database services are allowed to communicate through the network.
Your firewall configuration can vary depending on the QuickBooks version and network setup. If you use third-party antivirus or firewall software, check its settings as well.
Scan Company Files Using Database Server Manager
After installing the Database Server Manager, you should scan the folders containing your QuickBooks company files.
Scanning allows QuickBooks to identify company files that need to be hosted through the network. This is an important step when setting up multi-user access.
Open the Database Server Manager and use the folder scanning option to select the location where your company files are stored. After the scan completes, QuickBooks can recognize the files and make them available to authorized users on the network.
How QuickBooks Multi-User Mode Works
Once the server and workstations are configured correctly, users can access the shared company file from their individual computers.
The company file remains stored on the server computer, while authorized workstations connect to it through the network. The Database Server Manager handles the database connection required for this setup.
Make sure each workstation has a compatible QuickBooks Desktop installation and that users have the necessary permissions to access the shared folder.
If users cannot open the company file, check the server connection, folder permissions, firewall settings, and Database Server Manager service.
Common QuickBooks Database Server Manager Problems
Several issues can prevent QuickBooks multi-user access from working correctly. Common causes include:
- Database Server Manager is not installed on the server.
- The QuickBooks database service is stopped.
- The service is configured incorrectly.
- Company files are stored in an inaccessible folder.
- Windows folder permissions are missing.
- Firewall settings are blocking QuickBooks.
- The company file has not been scanned.
- Different QuickBooks Desktop versions are not installed correctly.
- The workstation cannot communicate with the server.
Final Thoughts
The QuickBooks Database Server Manager is an important component for businesses that need to share QuickBooks Desktop company files across a network. Installing it on the server, configuring the database service, setting the correct folder permissions, and allowing QuickBooks through the firewall can help create a reliable multi-user environment.
If you only use QuickBooks on one computer, you may not need the Database Server Manager. However, when several users need access to the same company file, proper server and network configuration becomes essential.
Before allowing users to work in multi-user mode, verify that the company files are stored in the correct shared location and that the Database Server Manager can access them. These steps can help reduce common network-related problems and keep QuickBooks company files accessible to authorized users.
